Role Summary

As Admin Support (Finance & Recruitment), you keep key back-office admin running smoothly, supporting operational administration tasks primarily in finance and recruitment.

You support invoice payments and maintain clear, accurate reports so the business always has reliable information and visibility over its financial position.

You coordinate recruitment administration and support hiring decision-making so the business can hire well and operate efficiently.

How Success is Measured

  • Payroll, invoicing, and financial data are processed accurately and on time, with issues identified and resolved before impacting others.
  • Hiring processes are managed promptly, professionally, and within expected timelines.
  • Continuous improvements are made to processes, systems, or workflows to reduce manual effort and minimise error risk

Key Responsibilities

Bookkeeping & Payroll Support

  • Manage invoice payments from receipt through to payment, ensuring invoices are approved, paid on time, and maintain accurate records.
  • Support the Bookkeeper with queries and payroll administration as needed.

Reporting & Spreadsheets

  • Prepare and pull regular reports as requested, ensuring data is accurate, up to date, and clearly presented.

Recruitment Administration

  • Support recruitment admin across the hiring process, including:
  • Posting roles and monitoring applications
  • Scheduling & conducting interviews
  • Candidate communication and keeping candidates updated
  • Updating recruitment trackers and filing recruitment documents appropriately

Process & systems improvement

  • Identify opportunities to streamline admin processes and introduce simple improvements that optimise systems, reduce manual work, and improve accuracy.

Experience & Skills

Essential

  • Strong written communication (clear, professional emails and messages)
  • High attention to detail and accuracy
  • Confident using spreadsheets (Excel or Google Sheets)
  • Strong organisation skills and ability to manage deadlines in a part-time schedule
  • Demonstrates strong judgement and discretion when handling sensitive information

Desirable 

  • Accounts payable / finance admin / bookkeeping support experience and/or
  • Recruitment coordination / HR administration experience
